POSITION INFORMATION:
Program Information
As a key member of our team, you will provide vital support to the College Support and Dean's office staff, serving as the first point of contact for guests and providing exceptional customer service to students, faculty, and staff. Your responsibilities will include assisting with exam preparation , and various projects, answering inquiries about our services, and corresponding with stakeholders within and outside the university.
Job Duties
- Serve as first point of contact for guests in the College Support office, providing customer service to students, faculty, and staff visitors.
- Provide support to BA101 instructors with exam preparation, room requests, and other duties.
- Answer telephone calls and questions about Lundquist College of Business services.
- Correspond with Lundquist faculty, staff, students, and persons outside the College or University regularly, as directed by College Support and/or Dean’s office staff.
- Monitor and respond to emails in the Lundquist Faculty Support shared inbox.
- Utilize approved University of Oregon programs and apps to track and share status updates on tasks.
- Distribute mail to all recipients within the college into their mailboxes.
- Make deliveries/pick-ups at various campus locations and some off-campus locations (vehicle not needed, all locations in walking or bus distance).
- Monitor office supply inventory and place orders through approved University of Oregon applications and other vendors to restock supplies.
- General office support includes data-entry, typing lists, preparing labels, printing name tents, preparing packets, making copies and/or completing print jobs, scanning and/or filing electronic copies, paper filing, filling copy paper trays and replacing toner cartridges, performing research, collecting data, and completing other projects as assigned.
- Maintain the cleanliness and professional appearance of the Dean's Office (emptying recycling bins, disposing of confidential recycling, assisting with clean-up after guests).
- Other duties may include, but are not limited to:
- Assist in preparations for major events and special projects (faculty staff meetings, celebrations, ceremonies, mailings, etc.)
- Complete special assignments and projects.
- Assist faculty and staff with tasks as needed.
- Create charts and graphs based on existing data sets.
- Open and/or close the office (turning on/off lights, shutting down computers/equipment)
Minimum Qualifications
Current UO student, Sophomore or above
Business, Pre-Business, or Accounting Major/Minor.
Perferred Qualifications:
Six months' customer service, or equivalent experience.
Effective communication skills and proficiency in Microsoft Office suite.
Professional demeanor, attention to detail, and ability to work in a diverse team environment.
Reliable, motivated, and eager to take initiative in projects.
Scheduling Information
Schedule determined at the beginning of each term as approved with supervisor
20 hours per week
Fridays required
Training Needs:
Preferred that candidate has knowledge of how to order from University of Oregon applications and use other UO programs is important, some ability in SmartSheet and Excel is useful
Preferably available to work during week ‘0’ during fall term
Sign proctoring integrity form
Student schedules must be turned in each term to verify proctoring eligibility and schedule availability
Appointment Information
Hire during spring for paid training, appointment from fall to spring 26-27 (9/16/26-6/15/27), reappointment possible based on office needs and supervisor discretion
